Data Integrity
Data Integrity in Cannabis Manufacturing: ALCOA+ Without the Pharma Overhead
Every quality decision in your facility rests on data: potency numbers, batch records, environmental logs, training files. Data integrity is the question of whether that data can be trusted — and it's the fastest-growing source of audit findings across regulated manufacturing. The framework regulators use is ALCOA+. Here's what it means for a cannabis operation, without the pharma bureaucracy.
ALCOA+, translated for cannabis
Every action traceable to a person. The "lab" shared login fails here — five analysts, one account, zero attribution.
Readable and permanent. Coffee-stained batch records with crossed-out entries in pencil don't qualify.
Recorded when it happens. The batch record filled in Friday afternoon for a week of production is reconstruction, not documentation.
The first recording is the record. Transcribing readings from a sticky note into the "official" log destroys originality.
Truthful and valid. No rounding up potency, no "correcting" out-of-spec results without investigation.
Nothing deleted, no gaps. The missing page 4 of 7 is a finding even if page 4 was boring.
Recorded the same way every time — same units, same formats, same sequence across batches and operators.
Preserved for the full retention period. The spreadsheet on someone's laptop that leaves with them isn't enduring.
Retrievable when needed. Records in a storage unit two towns over, unindexed, are not available during an inspection.
Where cannabis operations typically fail
- End-of-shift batch records. Paper records completed from memory hours later fail contemporaneous — and usually accurate too.
- White-out and scribbles. Corrections without a single line-through, initial, date, and reason fail legible and attributable at once.
- Spreadsheet sprawl. QC calculations in unprotected workbooks with no version control fail nearly every principle simultaneously. (See our CSV guide for the fix.)
- Verbal deviations. "We noticed the temp excursion and adjusted" — undocumented, uninvestigated, untrending. The next excursion looks like the first.
Proportionate controls — not pharma overhead
You don't need a 40-SOP data integrity program. You need the controls that match your risk:
- Unique logins for everyone who touches quality data — the single highest-value fix in most facilities.
- A one-page good documentation practice SOP, actually trained on.
- Audit trails enabled and periodically reviewed on your critical systems.
- Controlled spreadsheet templates or, better, validated calculations for QC math.
- Defined retention and retrieval — know where every record type lives and how fast you can produce it.
